The Problem

FUGA’s marketing team needed a better way to report results back to their clients—record labels and artist management teams—on the services they provided. The previous workflow was labor-intensive with:

  • Manual reports: The team compiled data on music performance (e.g., playlist placements on Spotify) manually and used Zapier and HTML to create static PDFs, which were emailed to clients. Any updates required creating new PDFs from scratch.
  • Manual data sharing: Stock information and other metrics were shared via Google Sheets. The team relied on formulas and app scripts for functionality and then exported data to clients (a time-consuming process).
  • Long client submissions: Clients submitted information through lengthy forms and repetitive data entry between FUGA’s main distribution platform and an existing client portal.

To address these challenges, FUGA wanted to build a new solution that could:

  • Automate and update client reports in real-time.
  • Enable clients to independently update project information.
  • Reflect FUGA’s branding and deliver an intuitive user experience.
  • Scale across multiple clients with role-based visibility.

The Solution

The FUGA team team used Softr to build a custom client portal, starting with an interactive dashboard for reporting results.

Laura and Jacky (FUGA's Marketing Services Director - Products & Services Development) went through an iterative design process to build a portal that fit the company's brand identity. They used Softr’s redesigned building blocks and tab/container layouts — to improve the overall user experience.

Once they recognized the platform’s potential, the team expanded the portal, resulting in a comprehensive app called SCORE that includes:

  • Automated results reporting: The portal provides live dashboards that pull qualitative data from Airtable, to replace static PDFs. Conditional filters allow the team to maintain one portal while displaying unique information based on user credentials.
  • Stock reporting dashboards: FUGA moved its stock reporting data from Google Sheets into BigQuery and used Softr to build custom dashboards on top of that data. This allows FUGA to provide real-time inventory data to clients while saving internal resources.
  • Streamlined client submissions: FUGA integrated its own distribution platform with Softr to create a more seamless process for clients to submit and update information for releases and other marketing initiatives. Clients can now update metadata and marketing details in one location (and from a mobile app, if they want), rather than filling out long forms.
  • Additional resources: The portal integrates with tools like Flourish to provide interactive maps of DSP coverage by region. Additional resources, such as FAQs and video tutorials, ensure clients fully understand FUGA’s processes and they can make the most of the portal.

The Impact

FUGA’s clients now have a transparent view of all their data and updates in one place, resulting in a significantly improved client experience.

If a client notices something that needs updating, like a new artist tour date, they can now log into the app and make the change themselves, eliminating the need for back-and-forth emails.

"We really appreciate how we can set user-specific visibility—clients see only what they need to see, nothing more," said Laura.

The portal has also resulted in huge time savings for the FUGA team: when it came to stock reporting, it previously took two people working at least a half day a week to get reports exported to the clients. Now, clients can access this data instantly through the portal with the BigQuery integration.

The success of the SCORE project has inspired FUGA to develop white-label versions for its partners, including a localized version for the Japanese market. By harnessing the power of no code, FUGA has transformed its operations, delivering a scalable solution that sets a new standard for client management.
