The Problem

Caddy Moving operates differently than your typical moving company: it provides labor-only moving help, serving customers who rent their own trucks. The value lies in flexibility and fast fulfillment for customers. 

Since launching in 2021, the business has seen rapid growth and nationwide expansion. But coordinating thousands of independent movers through back-and-forth communication became unsustainable. Movers had no visibility into available jobs or upcoming opportunities, which led to a constant stream of phone calls and texts. 

“The majority of our day was spent just trying to figure out who was available and when. It put a huge burden on our dispatch team—and things would fall through the cracks,” said Zach Richards, Caddy Moving’s Founder & CEO. 

The team switched to Airtable as their back-end system, but they needed a way to give movers visibility into upcoming jobs without giving them database access. They also needed a system that: 

  • Let movers create profiles, set their availability, and bid on jobs
  • Simplified mover onboarding and tracked application data in one place
  • Maintained a human dispatch element for quality control and trust

The Solution

Using Softr, Zach built a custom portal that syncs with Airtable and keeps Caddy’s fast-moving (and logistics-heavy) operation organized. The app allows movers to:

  • Sign up and create a profile: Caddy folded the application process into the signup flow with a custom Softr form, so movers can submit background info, upload documents, and create an account all at once.
  • View and bid on jobs: Movers can immediately browse available jobs and submit a pay rate. While a human dispatcher still reviews and approves each assignment, the app gives movers the confidence that there’s real work on the platform.
  • Claim shifts in advance: If a mover knows they’re available Friday, they can “take a shift” for that day. When a job is booked in that city on Friday, the system automatically matches and notifies them, giving them priority access.
  • Track their schedule and profile status: Movers can log in to see upcoming jobs, earnings, and profile updates all in one place.

Softr’s user groups, advanced permissions, and dynamic content blocks made it easy to tailor access based on mover status, location, and job type. Airtable handles background checks, job records, and algorithmic matching, while Softr gives the movers a professional, self-service portal.

The Impact

Since launching the mover portal, Caddy Moving has seen major improvements in both operations and experience, including higher mover retention and engagement. 

“ Cancellation rates are way down, fulfillment rates are up, and those things play into bottom line growth,” said Zach. “And movers appreciate it — they enjoy knowing their schedule beforehand and our dispatchers aren’t scrambling.” 

Key results:

  • With 3,000+ approved movers booking 800+ jobs per month, the system has scaled without needing to hire developers.
  • Previously, 90-95% of jobs were filled the day of. Now, the same percentage is filled at least a day in advance—giving dispatchers more breathing room and movers better planning.
  • Movers now have real-time visibility into job volume and scheduling, which builds trust and reduces drop-offs.
